Office Administrator

This is a Full-time, Salaried position.

 

About the Office Administrator:

As Office Administrator, you will be responsible for organizing, and supplementing office and facilities, coordinating Office administration, reception duties and assisting in some HR duties.

 

The ideal candidate should be an extremely hospitable, caring professional who is energetic and enjoys taking care of others. Always two steps ahead and leverages on relationships to get information that will aid you in your work. Someone who does not mind wearing multiple hats and anticipates needs. Experienced in handling a wide range of administrative and office support related tasks and able to work independently with little or no supervision. Well organized, flexible and enjoy the challenges of supporting an office of diverse people.

 

Key Responsibilities:

  1. Office Administration Duties:
  • Manage union, vehicle licensing and renewals (fleet management)
  • Manage incoming visitor sign in and security access
  • Reception – Answer phones, direct calls and inquiries, customer assistance, access card assignment, and mail distribution
  • Organizing and scheduling management meetings as needed
  • Booking meeting rooms, accommodation arrangements as needed
  • Coordinating meeting refreshments and lunches as needed
  • Assist Marketing and Sales with any Admin Support, shipping, ordering
  1. Facilities:
  • Janitorial, Office and Kitchen equipment coordination
  • Vendor management – including resolving issues, scheduling and sourcing
  • Office, Kitchen, First Aid supplies
  1. Employee Wellness & Social Committee:
  • Coordinate Employee gift baskets and gift cards
  • Assist with coordinating MAD activities, events
  • Assist with social committee administrative tasks – includes preparing posters, sign-up sheets, marketing material, and coordination
  1. HR Administration Duties:
  • Prepare postings, memos, and communications
  • Employee facilities assignment and maintenance – lockers, access cards
  • Perform data entry
  • Assist with various repetitive HR reports
  • Update and maintain Fire Emergency roll call lists
  • Update and maintain authorized operator postings
  • Probationary review follow-ups
  • Claims administration – IDEL, tax rebates for subsidies
  • Assist with maintaining training recertifications
  • Assist with security clearance applications as needed
  1. Other:
  • Assist with coordinating Trade Shows
  • Ordering business cards as needed
  • Assist with ordering Marketing material – including catalogs, pens and other supplies
  • Assist with ordering company t-shirts as needed
  • Assist with shipping and mailing material or documents via courier
  1. Assist with special projects and other duties as assigned.
  2. Able to lift up to 15lbs; may work in hot areas 5%, noise 0%.
  3. Ensure adherence to Health and Safety as well as active participation in 5S activities in work area.

 

Attributes, Skills and Knowledge:

  • A Degree in Business and/or equivalent relevant experience 
  • At least 2 years’ office administration experience
  • Naturally pleasant interpersonal persona
  • Zealousness in finding solutions, attention to detail and closing tasks
  • Exceptional planning, time-management, organizational and follow-through skills.
  • Experience in manufacturing, aptitude for understanding processes an asset
  • Computer aptitude and MS Office skills - Intermediate Excel Skills preferred
  • Valid Driver’s license and good driving record required
  • Clear Background Checks - Credit and Criminal

This position works out of our Mississauga, Ontario location. Hours are typically 8:00am to 4:30pm with flexibility.
